Manpower Bangladesh is hiring Co-ordination Officer in Dhaka 2020.
The successful candidate will provide efficient administrative support to the Country Director with complex travel arrangements and diary management, as well as other administrative duties related to managing the office. The person will act as the first point of contact for all clients and visitors on a daily basis, providing a professional and friendly service and delivering an exceptional first impression. For the avoidance of doubt, this role has been benchmarked and internally will be known as PA and Office Manager.
Responsibilities:
Coordinating travel arrangements for the Country Director, including booking flights, accommodation, visas, taxis, preparation of itineraries and liaising with Group offices / overseas clients where appropriate.
Scheduling meetings and diarising the same for the Country Director.
Following up on pending meetings and corresponding accordingly.
Processing expense claims for the Country Directors.
Tracking expenses of the Dhaka office and liaising with relevant teams within Group and external consultants for posting of office expenses.
Ensuring the internal database is kept up-to-date and that new contact information is uploaded on a regular basis.
Ensuring the Group travel policy is adhered to.

Arranging internal and external meetings (including conference calls or video conferences) with multiple participants across multiple time zones, prioritising and re-arranging where necessary.
Ensuring that only authorised and visitors enter Group offices

Eligibilities
- Strong office administration;
- Excellent organisational skills;
- A background providing support to a small team;
- Proficient in Microsoft Office including, Outlook, Word, Excel and PowerPoint;
- Outstanding communication skills and a good level of written English;
- Sensitivity to the cultures within which this group operates;
- Diary Management exposure;
- Comprehensive experience of arranging detailed and complex travel plans;
- Ability to work under pressure and an understanding of the importance of prioritising work and seeking assistance from colleagues when necessary;
- Ideally, be able to communicate verbally in Bengali;
- Microsoft Outlook, Word, Excel & PowerPoint;
- Ability to manage complex travel arrangements and scheduling;
- Ability to manage multiple diaries;
- Ensuring the Groups travel policy is adhered to;
- Preparation of correspondence, reports, presentations and other documents;
- Processing expense claims.
